From the outset, every detail was carefully orchestrated to ensure a seamless arrival experience. With delegates landing across two airport terminals, our team coordinated transfers with precision, ensuring a smooth, welcoming start from the moment guests arrived in the Egyptian capital.

For this event, VBX selected the newly refurbished Sofitel Cairo Downtown Nile — a venue that perfectly combined comfort, elegance and functionality. Set along the banks of the Nile, the hotel offered a refined setting where contemporary French style meets Egyptian heritage. Its dedicated events floor, featuring a spacious ballroom and multiple fully equipped breakout rooms, provided the ideal environment for both plenary sessions and smaller meetings.

The first day centred on arrivals and informal networking. After check-in, delegates were welcomed with a lively stand-up reception designed to encourage connection from the very start. The food and beverage offering celebrated international flavours, with Mediterranean antipasti, Middle Eastern mezze, Asian-inspired dishes, and European favourites, served alongside gourmet canapés, seafood bites, mini sliders, and vegetarian selections. Live cooking stations, premium wines, signature cocktails and non-alcoholic options added to the atmosphere, setting the tone for the days ahead.

Day two struck the perfect balance between business and discovery. Following breakout sessions at the hotel, delegates set out on an exclusive tour of Cairo, including a privileged visit to the National Museum of Egyptian Civilisation. One of the highlights was the Royal Mummies Hall, where guests enjoyed close-up access to some of Egypt’s most celebrated rulers, including Ramesses II. The museum offered a compelling journey through thousands of years of history, from royal burial traditions to remarkable everyday artefacts. The evening then shifted to the Nile, where delegates boarded a private river cruise complete with live music and traditional entertainment, creating a memorable cultural experience in a uniquely social setting.

The third day was the main conference day. In partnership with one of Cairo’s leading audiovisual companies, VBX delivered an impressive production setup featuring an 18-metre stage and two large LED screens, creating a striking backdrop for keynote speeches and presentations. Throughout the day, continuous refreshments, engaging discussions and a high-energy atmosphere kept delegates motivated and fully immersed.

To close the event in style, guests were taken to Khufu, the award-winning venue celebrated for its spectacular, unobstructed views of the Great Pyramids of Giza. The evening offered an extraordinary setting paired with innovative Egyptian and Mediterranean cuisine. Entertainment was led by Rula, whose captivating cross-cultural performance included the Maltese song Xemx, before the night transitioned into an electrifying DJ set. With the pyramids as a backdrop, delegates danced late into the evening, bringing the conference to a truly unforgettable close.
